Privacy Policy

1. Who We Are (Data Controller)

voxora is a software-as-a-service (SaaS) transcription platform. For the purposes of the EU General Data Protection Regulation (GDPR), the operator of voxora is the data controller of the personal data processed through the voxora service. The controller's full identity and business address are set out at the bottom of this page (see "Service & Subscription Details").

2. Data We Collect & Why

We collect basic account information (your email address) and the media files you upload, solely for the purpose of providing our transcription services. We also process limited technical data (such as usage and log data) needed to operate and secure the service. Payment and billing information is handled by our Merchant of Record (see Section 6) and is not stored on our own servers. Our legal bases under the GDPR are the performance of our contract with you (Art. 6(1)(b)), compliance with legal obligations (Art. 6(1)(c)), and our legitimate interests in securing and improving the service (Art. 6(1)(f)).

We do NOT use your private audio, video, or generated transcripts to train our AI models. For PRO users who explicitly enable 'AI Enhancement', transcripts are temporarily processed via OpenAI's Enterprise API for formatting and translation. Under OpenAI's Zero Data Retention policy for APIs, your data is NOT used to train their models and is immediately discarded after processing.

3. Data Security & Storage

Your files are stored in our secure cloud infrastructure (Cloudflare R2) and encrypted both in transit and at rest using AES-256 encryption. Access to this infrastructure is strictly limited. Our administrators cannot and do not listen to your private audio files. Where data is transferred outside the European Economic Area, it is protected by appropriate safeguards such as the European Commission's Standard Contractual Clauses.

4. Data Retention & User-Controlled Deletion

We believe you should own your data. You have full control over your files. When you delete a transcription from your dashboard, the database record and the associated media file are permanently and irreversibly destroyed from our servers. Account data is retained for as long as your account is active; billing records held by our Merchant of Record may be retained longer where required by applicable tax and accounting law.

5. Your Rights Under the GDPR

As a data subject in the EU, you have the right to access, rectify, erase, restrict, and port your personal data, and to object to certain processing. You may withdraw any consent at any time and lodge a complaint with a supervisory authority. In Poland, the competent authority is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, UODO). 6. Payments & Third-Party Processors

All purchases and subscriptions are sold and processed by Lemon Squeezy, LLC, which acts as our authorized reseller and Merchant of Record. Lemon Squeezy handles payment processing, billing, invoicing, and the collection and remittance of applicable sales tax / VAT. When you make a purchase, your payment and billing data are processed by Lemon Squeezy under their own privacy policy. We also use trusted cloud hosting and processing providers (including Cloudflare and OpenAI). These providers are bound by data processing agreements and, where applicable, are GDPR-compliant.

7. Prohibited Uses

You may not use our service to transcribe illegal content, including but not limited to child sexual abuse material (CSAM), content promoting terrorism, or audio obtained illegally without required consent. We reserve the right to suspend accounts that violate these terms or lawful requests from authorities.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, by notifying you through the service.

9. Service & Subscription Details

voxora is a software-as-a-service (SaaS) transcription platform offered on a free tier, a monthly subscription, and an annual subscription, as well as pay-as-you-go API credits. Paid subscriptions renew automatically at the end of each billing period (monthly or annually) until cancelled. You can cancel at any time directly from your account panel (which turns off auto-renewal so no further charges are taken), and your access continues until the end of the current paid period. To request a refund, use the "Request a Refund" option in your account panel or email us at support@voxora.me. All payments, invoices, refunds, and applicable EU VAT are handled by our Merchant of Record, Lemon Squeezy, LLC.
